Job Description

About the Role We are seeking a reliable and highly organized Office Assistant to join our team in Irving, TX, for a 3-month contract. In this role, you will be the face of our front desk and the backbone of our daily office operations. Because the majority of our staff works remotely, the office experiences low foot traffic, making this a quiet but dynamic environment. You will report directly to the VP of Communications and Marketing and handle a variety of administrative duties, facilities support, and special projects.

Key Responsibilities
  • Front Desk & Security: Manage the front desk, greet the occasional visitor, and ensure strict building security protocols are followed (all visitors and staff must be badged in).

  • Administrative Support: Answer and route a light volume of incoming phone calls, handle general administrative tasks, and assist the VP of Communications and Marketing with special projects as assigned.

  • Facilities Management: Keep the office running smoothly by setting up and breaking down conference rooms for meetings, taking inventory, and restocking office and breakroom supplies.

  • Mail & Equipment Handling: Receive, sort, and distribute incoming mail and packages. Prepare and ship out company equipment, specifically mailing laptops to remote employees.

Qualifications
  • Previous experience in an administrative, reception, or office assistant role is preferred.

  • strong organizational skills and strong attention to detail.

  • Reliable, punctual, and capable of working independently in a quiet office environment.

  • Good communication skills with a professional and friendly demeanor.

  • Basic technical proficiency (for handling shipping labels, email communications, and basic reporting).

  • Ability to lift light packages and office supplies as needed.

salary: $18 - $20 per hour
shift: First
work hours: 8 AM - 5 PM
education: High School

Responsibilities

3 month contract- Supporting front desk, handling admin work, receiving packages, setting up conference rooms, and restocking, some phone calls, most of staff is remote so there is not a lot of foot traffic, everyone must be badged in, sending out laptops and special tasks, reporting to VP of Communications and Marketing
